Prior to the event taking place we will be notifying the neighbouring premises via an advert in the local parish newsletter. This will give local residents the opportunity to raise any concerns with the committee and have their voices heard prior to the event. The advert will also include details of the Event Management Team for the event and a telephone number that local residents can use to contact the Event Management Team should the event become to loud. Should the Council require site of this advert we can provide a copy. A premises certificate will be displayed at the farm to notify local residents of the event. No other residents live within 150 meters of the event. The venue is in a rural location and will take place in a farm shed. There will be direct contact between the Event Management Team and the Sound Engineer, and D.J. via a WhatsApp Group set up for the event. The Event Management Team will monitor noise levels around the event site throughout the evening and adjust the sound levels accordingly. The Event Management Team will have a Noise Monitoring App on their phones to regularly check noise levels are not excessive. Members of the Management Team will be dispatched to the nearest noise sensitive dwellings (please list where they are) to ensure that the Noise Level does not exceed 65dB at 1 metre from the façade of the building, adjustments to the sound level will be made via the WhatsApp Group. Noise checks will be carried out at 7/8/9/10/11pm and finally at midnight. A complaints hotline will be advertised which will have a member of the Event Managements Team phone number so that complaints can be made direct during the event. Any complaints and sound checks made will be recorded on the Event Management Log. The Event Management Team will ensure that the live Music is cut at 11pm and the recorded music ceases at midnight. Any Noise related incidents at the event will be kept for inspection for a period of 28 days by an authorised member of the
All attendees will be kept within the premises by heras fencing. There will be lighting from the band in the shed and lighting surrounding the bar. There will also be a flood light in the fenced area outside the shed and in the car park. We are employing security through A Pollen Security. A Pollen Security are security industry Authority registered security staff. We have been informed by A Pollen Security we will require a minimum of 8 security personel on site at all times. A list of security personel will be provided to the licensee prior to the event. The list of security personel will be easily identifiable wearing their uniform and ID armbands. A drugs stop and search policy will be operated by security personel. Should any banned substances be found these will be confiscated and placed in a secure location by the security personal. Any confiscated substances will be disposed of following advice from the police. Those found with the confiscated substance will be remove from the event and placed in the onsite first aid area located by the entrance/security check point. The persons parents/ guardians will be phoned and asked to collect the person from the event. The Cumbria Young Farmers disciplinary process will follow after the event. The event will be a ticketed event open to young farmer members and advisory only. Prior to the event club secretaries will be required to complete a ticket request form listing the name, age, date of birth and membership number of those members who will be attending the event. On the day the members attending the event will be able to collect their wristbands from the dance secretaries in the secretaries cabin. Any attendee over the age of 18 will be provided with one colour wristband. Any members under the age of 18 will be provided with another colour wristband. Security personel will be asked to check ID and membership cards at the entrance / security check point and they will carry our searches of all bags entering the prem
All attendees will be kept within the premises by heras fencing. 15-20 advisory stewards will be in attendance at the event to staff the bar and provide assistance where needed. The out of bounds areas will be monitored by security personel and the advisory stewards using high-vis and torches. LED Lights are on buildings Lighting towers to be installed, lighting access/exit routes and car/bus parking area will be well lit As mentioned above we are employing security through A Pollen Security. A zero-tolerance drug policy will be in effect at all times during the event. Security personel will be made aware of this and anyone caught with any banned substance on them will have this confiscated and will be removed form the event. The person will be placed in the first aid area until a parent or guardian can collect them. An banned substance will be confiscated and kept secure by security personal and dealt with in line with police guidance. First Aid will be on site throughout the event and there will be a separate area for any medical emergencies. The main farm entrance will be kept clear throughout the event in case of an emergency. The nearest A&E department is Cumberland Infirmary. There will be 1 qualified paramedic on site as well as 2 first aid trained members of staff. 1 ambulance will be on site to provide medical help. In the case of an emergency or an evacuation the assembly area will be in the car parking field as this will be a large lit area of all people to congrigate. All exits will be clearly marked, and signs will be displayed showing the location of the emergency assembly area within the event area. All vehicles attending the event will park in the field opposite the venue. All beverages will be served in cans or plastic cups, no glass will be on site. Drinks will be provided using measures/ optics. No ice will be used. A refridgerated trailer provide by Applegarth Foods will be available to store drink. Free drinking water will be provided at the bar
All attendees will be kept within the premises by heras fencing. We are employing security through A Pollen Security to manage attendees as mentioned above. This will be a ticket only event and tickets must be purchased prior to the event. You must be a member of a Cumbria Young Farmers Club or an advisor to a Cumbria Young Farmers Club in order to attend the event. Local residents will be notified of the event prior to the event via a letter and an advert in the local paper. The venue is a farm and is 150m from local residents. The music will be monitored outside of the event and turned down if necessary as mentioned above. The bar will be a sufficient length and sufficiently staffed to prevent excess queuing. There will be bin on site for the disposal of plastic glasses. The committee will attend the venue the day after the event to clear away any little left on site.
The event will be for those aged 16 years and over. Noone under 16 years old will be allowed in the event. Anyone under the age of 16 will be required to provide a parental consent form in order to attend the event. The consent form will list all emergency contact details and the contact details of a responsible adult attending the event. Please see the details referred to above. ID will be checked by Security before entry is allowed into the event. See additional details above. ID provided must be a passport or accredited photo ID card bearing the PASS hologram. Those in attendance over 18 years old will be provided with one colour wristband and those in attendance under 18 years old will be provided with another colour wristband to allow for quick and easy identification by security and bar staff. A strict "Challenge 25" policy will be in place at all times throughout the event and wll be advertised accordingly. Drinks will be disbributed in plastic glasses. All drinks will be measured using measures or optics. Anyone who if found to be purchasing alcohol for someone under 18, or anyone trying to purchase alcohol who is under 18 will be removed form the event and taken to the first aid area to await collection from a parent or guardian
An incident book shall be kept at the premise in which details of crime and/or disorder and refusals (both alcohol and entry) relating to the premises shall be recorded. The incident book shall contain the followin - time, date and location of incident. - nature of the incident - names, addresses and contact details of persons involved and brief description. - the result of the incident. - action taken to prevent further such incidents. - each entry signed by the DPS, or other responsible person employed at the premises and so authorised by the DPS. The incident book shall be made available to police, or authorised officers of the licensing authority, upon request. Each entry shall be retained for no less than a period of 12 months from date of completion. All crimes committed within the premise will be reported to the police.
