- Party Pon The Lawn (PPTL) will work with trained, experienced and qualified professionals in the fields of security, event management, hospitality, fire safety, noise control and a dedicated medical team, as well as work in partnership with the local council, police, fire and the ambulance services to achieve this.
- An Event Management Plan will be submitted to the licensing authority 'a minimum of one month prior to the event'. This will include the policies of the security company for event security management security deployment, search procedures, and incident management protocols. as well as the Traffic Management Plan with details of and information on the use of any private hire / bus companies as to how attendees will get to the Train station train station Any updates to the Event Management Plan will be submitted before the Event takes place and will be strictly adhered to.
- The premises will operate as a controlled, ticketed outdoor event within a securely fenced area within Nags Hall Farm setting, with a maximum capacity of 2,500 attendees (including staff).
- Security Policies will include ,searching ,dealing with prohibited items and with any disorder or a crime .Selected SIA will be wearing body cameras .
- A CCTV system will be in operation covering all entrance and exit points, bar areas, and key public spaces. Recordings will be retained for a minimum of 31 days and made available to the police or authorised officers upon request.
- The CCTV will be of good quality and able to operate all lighting conditions. It will be monitored at all times. There will be a van parked outside the venue with an engineer to manage and monitor
- A ratio of 1 SIA to 68 attendees will be agreed in writing between Police and Event Organisers before the Event This will take into account presold tickets With regards to the above the no sale at the gate means that you will have the correct amount of S.I.A. for the attendees if it has fallen below the expected attendance
- SIA-licensed door supervisors will be deployed at all entry/exit points and within the event site in numbers proportionate to the event risk assessment. SIA security will conduct bag and body searches prior to entry into the enclosed fenced area .
- A controlled entry system will be in place, including ticket verification and bag searches. A strict prohibited items policy will be enforced. .
- No tickets will be sold at the gate at the time of entry
- Alcohol sales will be controlled through a limited number (2) of designated bar areas. All staff involved in alcohol sales will be trained in responsible alcohol retailing, including drink spiking awareness and Ask Angela.
- A Challenge 25 policy will be in operation, and a refusals register will be maintained.
- No glass or metal containers shall be used, all drinks will be decanted into plastic cups or containers.
- There will also be security personnel at the bars for additional support.
- Drinks will not be permitted to be taken out of the event space (with the exception of water)
- An incident log will be maintained throughout the event, recording refusals, ejections, and any instances of crime or disorder.
- A refusals register will be maintained and reviewed by management.
- A clear communication system (radio network) and command structure will be in place linking event control, security, and stewards.
- Adequate lighting will be provided to ensure safe access and egress in the hours of twilight and darkness.
- A full risk assessment will be undertaken prior to the event and adhered to throughout.
- The event site will be enclosed by secure fencing, with clearly defined entry and exit points, as well as clearly signposted emergency/fire exits, which will be kept unobstructed at all times, with a blue route provision within the fenced area to allow ease and speed of access in case of emergencies.
- A professional medical provider will be present on site for the duration of the event, with appropriately qualified personnel and facilities to respond to medical incidents.
- SIA security and stewards will be positioned throughout the site to assist with crowd management, ensure safe movement and behaviour of attendees, and monitor capacity within the premises. They will also assist with access and egress to further ensure safety of all people on site.
- The event will operate within a maximum capacity of approximately 2000-2,500 persons, including staff, which will be strictly controlled through ticketing and entry management.
- All temporary structures, staging, and electrical installations will be installed and certified by competent contractors in accordance with relevant safety standards.
- Food vendors will be assessed in advance, ensuring that all relevant paperwork is submitted and in date, as well as being monitored to ensure safe practice on the day.
- Adequate lighting will be provided to ensure safe access and egress in the hours of twilight and darkness
- A contingency and emergency plan will be in place, including procedures for evacuation if required
- Noise monitoring shall be carried out by a competent person to ensure compliance with the Code of Practice on Environmental Noise Control at Concerts. The results of this monitoring shall be provided to Environmental Health no later than one week after the event.
- A Noise Management Plan will be implemented and agreed where necessary with Environmental Health.
- Amplified music will be controlled through directional speaker placement and active sound level management, with regular monitoring at the site boundary and nearest residential receptors.
- All amplified music will cease at a reasonable hour in accordance with agreed licence
- There will be no external amplified music outside of the defined event area.
- Stewards and security will manage customer behaviour, including monitoring noise levels from patrons.
- A managed and phased dispersal policy will be implemented at the end of the event to minimise disturbance, including stewarded exit routes and clear communication to attendees.
- Clear signage will be displayed requesting patrons to respect local residents and leave quietly.
- Litter management and waste collection will be undertaken during and immediately after the event to ensure the site is left clean.
- Deliveries, collections, and site breakdown activities will be scheduled to minimise disturbance to local residents, particularly during early morning or late-night hours.
- There will be trained staff on site for traffic management to avoid any congestion around the area and to allow traffic to enter and exit safely and easily, in and out of the site
- Notices will be erected on Tandridge Lane to warn road users of any potential mud on the road, and to alert them of the exit and entry gates
- Where alcohol is supplied, a Challenge 25 age verification policy will be operated.
- Acceptable forms of identification will include a valid passport, photocard driving licence, or PASS-approved card.
- All staff involved in alcohol sales will receive training in age-restricted sales and will be instructed to refuse service to anyone unable to provide valid identification.
- There will be no children attending the event and no persons under the age of 18 to be permitted on the event site.
- Safeguarding procedures will be in place, including a clearly identifiable welfare point and processes for managing lost or vulnerable persons.
- All staff and contractors will be briefed on safeguarding responsibilities prior to the event.
